Our Acute services can support people who are detained under the Mental Health Act, or who are admitted to hospital informally. People may access our acute service as a direct admission via their local NHS mental health hospital or community teams. This provides a seamless transition of care. We can support individuals experiencing difficulties due to a range of conditions including bipolar disorder, psychosis, depression, personality disorder and self-harm. We aim to prepare all service users for discharge straight back to their local community under the care of the community mental health team, or to the least restrictive environment appropriate to meet their own individual needs.
We are seeking a motivated and experienced Receptionist to join our team!
Job Purpose:
To provide comprehensive administrative and clerical support to the ward team, ensuring the smooth and efficient running of a mental health inpatient unit while maintaining confidentiality and supporting high-quality patient care.
Key Responsibilities
Administrative Duties
· Maintain accurate and up-to-date patient records (admissions, discharges, transfers)
· Input and update information on electronic patient systems
· Manage filing systems (paper and digital) in line with data protection policies
· Prepare documentation for ward rounds and clinical meetings
Communication
· Act as the first point of contact for telephone and face-to-face enquiries
· Greet visitors, patients, and relatives in a professional and sensitive manner
· Liaise with healthcare professionals including nurses, doctors, and external agencies
· Handle confidential information appropriately at all times
Coordination & Support
· Book appointments, transport, and meetings as required
· Support the multidisciplinary team with administrative tasks
· Assist with ordering supplies and maintaining stock levels
· Ensure ward information boards and systems are kept up to date
Compliance & Confidentiality
· Adhere to Inmind Clerk policies, including data protection and patient confidentiality
· Follow health and safety procedures within a mental health setting
· Maintain awareness of safeguarding responsibilities
Person Specification
Essential Skills & Experience
· Previous administrative or clerical experience
· Good IT skills (e.g. Microsoft Office, electronic record systems)
· Strong organisational skills and attention to detail
· Excellent communication and interpersonal skills
· Ability to work under pressure and prioritise workload
Desirable
· Experience working in healthcare or a mental health setting
· Knowledge of IT systems and procedures
Understanding of mental health conditions
